Approach: Efficiency

Joined-up systems, less manual work.

Map how work moves between your systems, join them through one data layer and fix the steps where time is lost, measured against an agreed baseline.

Efficiency is the stage of the Conosco.AI approach that joins up a business’s systems and uses AI automation to remove manual work: re-keying, chasing approvals, reconciling spreadsheets and building reports by hand. It is for growing businesses whose operations, finance and IT leads can see time leaking between systems and want it back, measured.

Much of the working week is lost moving information between systems. The same customer is typed into the CRM and again into the finance system. An approval waits in someone’s inbox. A monthly report is rebuilt by hand from several spreadsheets.

We map how work really moves, join your systems through one data layer and fix the steps that leak.

How do I find where time is being lost in my business?

You map it. Most businesses know roughly where the pain is, but not how much it costs or where it starts. We look at every system and spreadsheet that holds your data, then follow the workflows that cross them, step by step.

That shows where data is re-keyed, where work waits and where it goes round again. It also shows which fixes are worth doing first.

What we do

  • Map your systems. Every system and spreadsheet that holds your data, what each is the source of truth for, and how they connect today.
  • Map how work moves. The workflows that cross those systems, step by step: where data is re-keyed, where work waits and where it goes round again.
  • Fix and measure. The steps worth fixing first, fixed with AI and automation, and measured against a baseline we agree with you.

Which systems can you connect?

We work with the systems growing businesses already run on, including Microsoft 365, Xero, Sage, QuickBooks, Salesforce, HubSpot, Bob, Slack, Notion, Atlassian, Asana, Dropbox and Google Workspace.

The aim is one data layer: a single place where information from those systems comes together, so a figure is entered once and used everywhere. It runs on your own platform, in Microsoft 365 and Azure, using Power BI and Dataverse where they fit.

Where does AI help, and where does it not?

AI does the reading. It sifts results, spots patterns and drafts commentary, such as the narrative that goes with a monthly report. It never produces the numbers: those come from tested code, so they are consistent and can be checked.

People review, apply judgement and decide. That split keeps AI automation useful without handing it decisions it should not make.

What does a workflow automation project measure?

Every piece of work starts with a baseline and ends with the same measure taken again. For Efficiency we agree the measures with you, usually drawn from three outcomes.

Time back for your people, measured in hours per task and per week, before and after. Lower cost per process, measured as cost and time per transaction, request or report. Faster, better decisions, measured as the time from an event to the report that shows it, and how often issues are caught early.

Do we need to replace our existing systems?

Usually not. Efficiency works with the systems you have, joining them rather than replacing them. Where a process needs a tool that does not exist off the shelf, that becomes Build work.

Everything we set up runs on your platform, on your data and controls, with no Conosco IP embedded. Your team can run it, or Conosco keeps running and improving it. Conosco’s security team reviews every build before it goes live.

Who runs the work?

One technical lead owns every request and brings in Conosco specialists as needed. You can use us alongside an existing IT provider.

Where should we start?

If time is lost to re-keying, chasing and building reports by hand, start with the one-week AI readiness diagnostic. It maps your systems, workflows and reports, finds where time is lost and agrees the measures that matter. It needs up to a day of your team’s time, at a fixed fee agreed before we start, and ends with a baseline and a costed plan.

Where this fits

Efficiency follows Adoption, where your people start using AI tools well, and leads into Build, where we make apps and agents for work no off-the-shelf tool fits. You can start at any stage. To see board reporting and workforce planning in practice, try the demos on our examples page.
